Bilingual Minimum Preferred (English/ Spanish)
The position reports directly to the Project Manager providing technical support, maintaining construction schedules, ensuring accuracy of information in the database. Activities include extensive interaction with Sales, Purchasing, Accounting and Distribution to ensure timely project completion and a seamless transition to the client's Customer Service department.
Assist and support Projects Department: Projects Manager, etc..
Effectively handle incoming calls and make follow up calls
Maintain and update schedules daily
Update QuickBooks and Job sheets to match time sheets
Collect and review customers' contracts and/or purchase orders
Prepares documentation for new job set-ups and present to Production Admin
Supports the coordination of subcontractors and vendors for estimates, purchase orders and invoices.
Monitors and tracks supplies and equipment deliveries, shipments, use, returns and associated documents / tickets
Maintains project's portion of the Dispatch calendar for employees
REQUIRED SKILLS/EXPERIENCE:
Bachelor Degree HIGHLY Preferred
Bilingual English & Spanish
1-2 years of multi-language administrative Assistant experience
Must be outgoing and professional
Strong verbal communication skills
Must have strong PC skills including: QuickBooks, Microsoft Office
